Which clients cost you more than they pay?
Enter what each client pays per month and how many hours your team spends on them. You'll see the margin, the effective hourly rate and how many hours you can spend before a client becomes a loss. Runs in your browser — nothing is stored.
Pre-filled values are a fictional example — replace them with your own numbers.
How the calculator works
Hourly cost
Monthly labor cost ÷ paid hours × (1 + overhead %). Example: €3,500 ÷ 174 h = €20.11 per hour.
Margin per client
Monthly fee − hours spent × hourly cost. Margin % = margin ÷ fee.
Effective hourly rate
Monthly fee ÷ hours spent. Compare it with your hourly cost and your list price.
Break-even hours
Monthly fee ÷ hourly cost. Every hour above this costs you money.
The calculator is only as good as your hours.
Most firms know what each client pays. Few know how many hours each client really takes — especially on fixed fees and retainers. With opiq TEAM, your team logs work per client with one click (timer, "My day" or a manual entry), and you get hours and profitability by client, team and employee every month, without spreadsheets.
- No screen recording, keystroke logging or location tracking
- Finance data visible only to owners, admins or people you grant access
- Runs in the browser and on phones; first entry in about 5 minutes
- EU-hosted · plans from €19.90/month · 14-day free trial, no credit card
Client profitability questions
How do I calculate client profitability?
Take what the client pays you in a month and subtract the cost of the time your team spent on that client. Time cost = hours spent × your hourly cost per employee. The result is your margin for that client; divide it by the fee to get the margin percentage.
How do I work out my hourly cost per employee?
Divide the total monthly labor cost of an employee (gross salary plus employer contributions and benefits) by the paid hours in a month — for example €3,500 ÷ 174 hours = €20.11 per hour. Add an overhead percentage if you also want to cover rent, software and other indirect costs.
What is an effective hourly rate?
The fee a client pays divided by the hours your team actually spent on that client. If a client pays €400 a month and takes 16 hours, your effective rate is €25 per hour, no matter what your price list says.
What are break-even hours?
The number of hours you can spend on a client before the work costs more than the client pays: monthly fee ÷ hourly cost. Every hour above that is a loss.
Where do I get the real hours per client?
From work logs. If your team doesn't log time per client yet, the hours are guesses. opiq TEAM lets employees log work per client with one click and calculates profitability by client, team and employee automatically.
Is my data stored?
No. The calculator runs entirely in your browser. Nothing you enter is sent to a server.
